What Finance Leaders in U.S. Non-profits Need to Know

Jun 19, 2025

If you’re working in non-profit finance, be it as CFO, CEO, VP, or in procurement, you’re witnessing first-hand how 2025 has brought a wave of mounting demand and dwindling resources. So how do non-profits plan for tomorrow when today is so uncertain?

The Crunch Is Real

The Non-profit Finance Fund’s (NFF) 2025 State of the Non-profit Sector Survey, which polled 2,206 organizations, paints a stark picture:

  • 85% expect increased service demand in 2025.
  • 36% ended 2024 in the red—the highest operating deficit in a decade.
  • 86% report inflation bumping up costs for both them and their clients.
  • Over half had just three months or less in cash reserves, and 18% had one month or less.

If you’ve seen rising demand, but shrinking reserves in your organization, you’re far from alone.

Scale Isn’t Optional

Despite these financial issues, non-profits are still expanding to meet needs:

  • 63% added services in 2024.
  • 62% focus on building community wealth, and 54% on addressing economic inequality.

The Talent & Infrastructure Challenge

Non-profits won’t thrive on goodwill alone. The survey reveals that:

  • Only 41% of organizations pay all full-time staff a living wage.
  • Merely 66% offer health insurance, and that falls to 12% for those with budgets under $250,000.

Ironically, the sector powering about 10% of U.S. private employment and contributing nearly $1.4 trillion annually faces the very challenge of retaining staff due to budget pressures.

What Leadership Can Do Now

Here are five practical strategies for U.S. non-profit finance teams to navigate this volatile landscape:

  1. Build multi-scenario cash forecasts, don’t rely on a single baseline.
  2. Conduct recurring spend audits, that forgotten subscription or auto-renewal could be cash in hand.
  3. Automate procurement workflows, centralizing purchasing helps enforce visibility, discipline, and traceability.
  4. Enable grant-aligned financial tracking, so you can pivot quickly when grant guidelines shift.
  5. Lean into transparent reporting, real-time insights and clean data build credibility with funders who demand evidence of impact.

Non-profits are the infrastructure that keep our communities running, from affordable housing and childcare to disaster recovery and cultural engagement.

But the survey warns this infrastructure is operating at full stretch.

Where Procurement Fits In

Smart procurement isn’t a luxury, it’s a lifeline. Improving spend visibility, managing vendor rates, and optimizing workflow frees up critical resources that can be redirected to mission.

Your Next Steps

  1. Review your organization’s values against the survey data: Are you showing signs of the trends NFF highlights?
  2. Align your finance and procurement teams to address vulnerabilities, especially around cash flow and spend visibility.
  3. Use these survey findings to drive conversations with your board and funders, readying them for realistic scenarios and needs.

2025 is demanding more from non-profit finance professionals than ever before. But with the right data, tools, and mindset, you don’t just survive, you lead. By combining accurate forecasting, procurement discipline, and transparent reporting, you can turn today’s crisis into tomorrow’s strength.

Finance teams don’t need another spreadsheet, they need systems that help them focus on the big picture.
