P2P Spend Management (Bob's Story)

Spend management is about making the corporate cash work harder to reduce costs by addressing the problems of a manual purchasing system.

The Problem:

A manual purchasing system
Bob buys “stuff” for his department. Bob doesn’t like to haggle too much over price even though he does shop around and most organisations have a “Bob” in every department.

The result is that the organisation spends more than it needs to on the majority of what it buys, whilst managing an ever-growing number of suppliers offering similar goods and services.

The current manual purchasing process means that there is no way to control the poor spending habits, no way of enforcing consolidation of suppliers and no means of motivating the staff to get the very best price they can.

The Solution:

Life with Compleat Spend Control
The introduction of Compleat Spend Control has been a revelation for Bob.

The Compleat Buyers Group (CBG) reviewed the organisation’s purchasing in detail and identified the areas where it can save the company a great deal of money on things it already buys.

Bob simply searches within Compleat for what he wants to purchase, selects what he wants from the relevant CBG catalogue and Compleat does the rest. The organisation has not only consolidated its spending, but is achieving levels of discount from CBG that would be unthinkable as a single business.

Bob is still able to buy other non-CBG goods and services, but sticks to CBG where he can because it is easier and faster and does not require an explanation to his manager on why he used another supplier.

Spend Management and Austerity
Bob is also reviewing what the organisation buys. He has realised that a lot of purchasing decisions represent the “good times” and now is the time to become more frugal with the corporate cash.

Bob is working with CBG and identifying alternate goods and services which still fulfil the business need, but cost less than those that have been purchased through habit. No-one in the organisation has noticed the difference, but the bank account has!

The Finance Director is tracking the savings within Compleat, as every penny saved stays in the bank account and goes straight to the bottom line. He knows that a £100,000 saved delivers an equivalent contribution to profit of an increase of £1m in sales - but without the cost and hassle involved, even if it was possible in these troubled times.

And the Finance Director’s board colleagues are also delighted. Their budgets go further and it is becoming a trend to discuss the savings being made by each department at the board meeting. Which makes discussion on advancing the business through investment a pleasure, rather than a frustration because the cash isn’t available.

The board now has Compleat Spend Control and is maximising the potential of the business.
