Manual Purchasing
How good is my current process?
To understand the business need for a fully automated purchase to pay process, consider the challenges of your existing manual purchasing process:
- The process is tediously slow: The manual process consumes a huge amount of time and effort for everyone involved.
- The volume of paper: Purchase order forms, delivery notes and purchase invoices are scattered across the entire organisation.
- Every piece of paper is invisible: The current status of every purchasing transaction is unknown, unless someone finds the pieces of paper.
- No knowledge of what is being spent: Every purchase commitment is invisible to the accounts department until the invoice is approved and posted. The monthly management accounts and cashflow are based on a month end best guess accrual of purchase invoices what is still in the system awaiting approval
- Budget Control: Manual budget control is often ineffective because it is inaccurate. The result is overspend that may not be captured for weeks or even months after it occurred.
- Purchase Invoice Approvals: Manual invoice approvals are a major bottleneck, especially for organisations with more than one location. It impacts the accuracy and production of accounts and cashflow forecasts (month end estimated accruals) and supplier relationships through delayed payment.
- The accuracy of invoice approvals: Without a record of what was purchased, at what cost and whether it was delivered, do the invoice approvals and payments always reflect what occurred?
- Poor relationships with key suppliers: The result is an ongoing battle with major suppliers to keep the account off stop and is detrimental to negotiating better prices.
- Is this the best use of valuable time and resources? Everyone involved in the purchasing process will agree that it all takes a great deal of time, results in mistakes that effect customers and delivers little to no return. It is an unfortunate necessity.
